How AUB processes your personal data

Here you can learn about what sorts of data AUB processes, how the data is processed and what rights you have when we process cases and inquiries concerning:

• Subsidies for apprenticeship abroad
• Subsidies for apprenticeship in Denmark
• Subsidies for when a company closes or goes bankrupt while you are a trainee
• Your current or former employer’s contribution and subsidies in Læreplads-AUB
• Subsidies and reimbursement schemes for an employer that you have signed a training or education agreement with
• Subsidies for you or your employer for your participation in adult and supplementary training (VEU).

AUB is responsible for the processing of the personal data that we have about you.

We process your personal data for one or more of the following purposes:

• To pay salary and pension reimbursement or transport subsidies to your employer in connection with your school stays
• To pay salary supplements to your employer for hiring you if you have missed out on an educational agreement through no fault of your own
• To pay an EGU (basic vocational education and training programme) bonus to your employer
• To calculate your employer’s contributions and subsidies in Læreplads-AUB
• To calculate your employer’s contribution to AUB and VEU
• To pay subsidies to your employer when you are posted to an international employer
• To pay subsidies for your apprenticeship abroad
• To pay subsidies for your apprenticeship in Denmark
• To pay subsidies when a company closes or goes bankrupt while you are a trainee
• To pay subsidies to you or your employer for your participation in adult and supplementary training (VEU)
• To train our employees and improve the customer experience (if you call us and accept that we can record the conversation)
• To test our systems in connection with development, optimisation of operations and, if relevant, fixing errors.

We only collect information about you that we need to process your case. 

We collect the following types of personal data about you: 

Common personal data

• We receive information about your name, address and other basic data from the CPR registry
• We receive information about income from the Danish Tax Agency
• We receive information about account numbers/NemKonto from the Agency for Digital Government
• We receive information about whether you are a member of an unemployment insurance fund from the Danish Agency for Labour Market and Recruitment
• We receive information about your participation in school stays from your vocational school
• We receive information about your education agreement and participation in an adult and supplementary training programme (VEU)
• We receive information about your apprenticeship at a company from your FGU institution
• We retrieve information about your employment and salary conditions from your employer
• We retrieve information about whether you have completed a vocational training programme from Statistics Denmark, and if you are, we also get information about your study programme
• We retrieve information from ATP about your employer’s ATP contributions made on your behalf. 

We process your personal data based on Sections 1, 2, 26 and 26(a) of the Danish Consolidated Act on the Employers' Reimbursement System, cf. Consolidated Act no. 187 of 9 March 2020.   

We can obtain and coordinate data for case processing and for checking payments, etc. This can be done with the help of Udbetaling Danmark – Public Benefits Administration on the basis of special provisions in the Danish Udbetaling Danmark Act and established guidelines, including those for erasure of data.

We can pass on information about you to other public authorities such as the Danish Tax Agency and Udbetaling Danmark – Public Benefits Administration which, by law, are entitled to receive information.

We pass on information about to you others in connection with our case processing.

We pass on the following types of personal data about you:

Common personal data

• We pass on your civil registration number to the CPR registry, Danish Tax Agency, Statistics Denmark and the Danish Agency for Labour Market and Recruitment
• We pass on information about your name, address, civil registration number and participation in adult and supplementary training programmes (VEU) or school stays at a vocational training programme to your employer
• In some cases, we have to pass on your case to the Danish National Archives.

We store your personal data when processing your case and we delete them after 10 years. The information is stored after the case has been closed due to rules in the Danish Limitation Act, the Danish Bookkeeping Act and the Danish Archiving Act.

If you have consented to AUB recording a conversation, AUB deletes this conversation after two months. You can always have the conversation deleted earlier by contacting AUB.

We may make decisions that are solely based on automated data processing. The automated decisions are made by us retrieving information about you electronically and then this together determines whether you are entitled to a subsidy and the size of the subsidy. The automated system sends you a letter if your case has been the subject of an automated decision.

You can receive a copy of the data we process about you (insight). 

You can complain about us processing your personal data (objection).

You may also request:

• to have your personal data rectified or erased
• to have the data sent to you or another party (data portability)
• that we suspend the processing of your data.

And finally, you can object to us making automated decisions.

There may be conditions or limitations to the rights mentioned above. It is therefore not guaranteed that, for example, you have the right to have your personal data deleted in a specific context - this will depend on the specific circumstances in connection with the data processing. Among other things, this may be due to your personal data being used in a case involving a payment to a third party or for legal compliance reasons.

Are you dissatisfied with the processing of your personal data?

You can contact the Data Protection Officer, if you think:

• that you have not received a satisfactory response to your request for access to your personal data
• that AUB has not respected your rights.

If you disagree with the way in which we process your personal data, you can also submit a complaint to the Danish Data Protection Agency.  

Please note that the Danish Data Protection Agency is only a complaints body in respect of AUB’s processing of personal data and not the handling of your case.
